Preparation

Identify the performance issues or concerns

Provide any necessary training, resources, or support to help the employee improve

Document the meeting and have the employee sign to acknowledge the discussion

Performance Improvement Plan (PIP)

Develop a written Performance Improvement Plan (PIP) outlining the specific areas for improvement

Include measurable goals, timelines, and milestones in the PIP

Clearly state the consequences if the employee fails to meet the expectations outlined in the PIP

Share the PIP with the employee and explain its contents

Answer any questions and address any concerns the employee may have

Obtain the employee's signature on the PIP to acknowledge their understanding and agreement

Provide a copy of the PIP to the employee and keep a copy in their personnel file

Schedule regular check-ins and progress reviews with the employee to monitor their improvement

Ongoing Support and Feedback

Provide regular feedback and coaching to the employee throughout the improvement process

Offer guidance, resources, and training opportunities to help the employee develop the necessary skills

Encourage open communication and address any challenges or obstacles the employee may face

Recognize and acknowledge any improvements or positive changes in the employee's performance

Continuously monitor the employee's progress and adjust the PIP if necessary

Document all interactions, feedback, and progress made during the performance improvement process

Final Evaluation and Decision

Conduct a final evaluation of the employee's performance at the end of the improvement period

Compare the employee's progress against the goals and expectations outlined in the PIP

Determine whether the employee has successfully met the performance standards

If the employee has improved, acknowledge their efforts and provide positive reinforcement

If the employee has not met the expectations, consider appropriate disciplinary actions or termination

Schedule a meeting with the employee to discuss the final evaluation and any decisions made

Document the final evaluation and any subsequent actions taken
