Equipment in and out

Incoming Equipment

  • Carefully examine all surfaces of the equipment for scratches, dents, or other signs of damage
  • Check for any wear and tear on buttons, screens, or other components
  • Write down the unique serial number of the equipment
  • Note the model number to accurately identify the equipment
  • Power on the equipment and test all functions
  • Check for any error messages or malfunctions
  • Assign a unique identification number to the equipment
  • Place a label or tag with the identification number on the equipment
  • Check for all listed accessories and parts in the inventory list
  • Make note of any missing items
  • Inspect seals, screws, or external covers for any signs of tampering
  • Look for unauthorized modifications to the equipment
  • Cross-check the inventory list with the actual accessories and parts
  • Ensure that all necessary items are included
  • Test safety features such as emergency stop buttons or safety guards
  • Make sure all safety mechanisms are working properly
  • Compare the equipment's specifications with the details in the purchase order
  • Ensure that the equipment meets the required specifications

Outgoing Equipment

  • Check that all equipment functions properly
  • Test equipment to ensure it is working correctly
  • Peel off any old labels or stickers
  • Clean off any residue left behind
  • Thoroughly clean all surfaces of the equipment
  • Sanitize equipment to ensure it is safe for use
  • Use appropriate packaging materials to protect equipment
  • Securely pack equipment to prevent damage during transport
  • Document the transfer of equipment in writing
  • Note the new location or tenant receiving the equipment
  • Inspect equipment for any missing components
  • Ensure all parts and accessories are accounted for
  • Verify that all functions of the equipment are operational
  • Check for any issues with equipment performance
  • Capture images of equipment from different angles
  • Document any existing damage or wear on the equipment
  • Ensure all parts are securely attached to the equipment
  • Use packaging materials to secure loose components
  • Attach labels with new location or tenant details
  • Clearly mark equipment for easy identification
  • Have both parties sign a document acknowledging the transfer
  • Keep a copy of the signed document for record-keeping
